Position Description

HOURCAR is a nonprofit carsharing company in the Twin Cities, offering a fleet of shared-use vehicles to its members through an online reservation system with 24/7 access at any of its 40+ carsharing hubs. In summer 2021, HOURCAR will launch Evie Community Carshare, a new all-electric one-way carsharing service, with 150 electric vehicles supported by 70 on-street charging hubs. With a focus on equitable and affordable mobility, HOURCAR will be at the leading edge of transportation innovation in the US.

HOURCAR is seeking a Business Operations (Biz Ops) Director to join our growing team. The Biz Ops Director is responsible for HOURCAR’s core business operations. The Biz Ops Director works closely with the CEO to understand the organization’s vision and to ensure that operational priorities align with HOURCAR’s mission and values. The Biz Ops Director leads HOURCAR’s core operations team (Member Services and Fleet departments), and supervises the Member Services Manager, Fleet Logistics Manager, and Shop Manager/Senior Technician. The Biz Ops Director also administers HOURCAR’s business office, including accounts receivable and payable, ordering, and vendor management. The Biz Ops Director is responsible to ensure operational efficiency and accurate tracking and management of expenses. The Biz Ops Director will also take the lead on planning and implementing the HOURCAR team’s return to the physical office space in Fall 2021.

The ideal candidate will have 3+ years of management experience, a nimble and entrepreneurial mindset, and a demonstrated commitment to making the world a better place through work or volunteerism in nonprofits, social enterprises, or socially-oriented businesses.

 

Job Responsibilities:

Core Operations Leadership

Performance Optimization

  • Use data analytics tools such as Tableau to assess operational performance (including usage, revenue, and member retention) against key metrics, and work with staff to ensure achievement of performance goals
  • Oversee spending and track expense reports for core business operations to ensure alignment with HOURCAR’s annual budget; implement cost saving measures wherever possible
  • Work with Member Services Manager to develop pricing structures that maximize utilization and revenue while minimizing excess fleet capacity
  • Work with Fleet Logistics Manager and Shop Manager/Senior Technician to maximize efficiency of HOURCAR’s cleaning and maintenance operations and develop innovative processes to keep costs of cleaning and maintaining vehicles low
  • Report regularly to HOURCAR’s CEO regarding HOURCAR’s operational performance and recommend changes to tactics as appropriate

Departmental Supervision

  • Hire, supervise, and/or remove Member Services and Fleet Logistics managers and Shop Manager/Senior Technician (“Core Operations Team” managers), in consultation with HOURCAR’s CEO and in accordance with HOURCAR’s employment policies
  • Hold regular meetings with Core Operations Team managers both individuals and collectively to ensure operational effectiveness and alignment with HOURCAR’s strategic goals
  • Perform annual reviews for Core Operations Team managers, and adjust compensation as appropriate in consultation with HOURCAR’s CEO
  • Direct a collaborative goal-setting process with Core Operations Team at regular intervals and/or as needed

Business Office Administration

Accounts payable

  • Work with outside bookkeeper to ensure all invoices are paid in a timely manner
  • Serve as a second signer on the HOURCAR account

Accounts receivable

  • Track hours and expenditures and prepare invoices to funders for major grant accounts, including US Department of Energy grant (administered by American Lung Association)

Payroll and benefits

  • Interface with external bookkeeper and payroll company to ensure accurate and timely processing of HOURCAR staff payroll and benefits on a biweekly basis

Grant reporting

  • Assist CEO in the preparation of grant reports to funders

Ordering

  • Order office and other supplies as needed and within budget guidelines

Vendor management/external liaison

  • Serve as liaison with external bookkeeper, including interacting with HOURCAR staff on bookkeeper’s behalf to resolve any issues
  • Serve as liaison with payroll company
  • Serve as liaison with managed IT provider
  • Serve as liaison with building management to resolve any issues with the office space, warehouse and maintenance bay

Return to physical office

  • Develop and implement policies to support HOURCAR’s return to a shared physical environment in Fall 2021
  • Develop and implement a return-to-office logistics plan

Qualifications:

  • 3+ years of management experience; nonprofit sector, social enterprise, or shared mobility experience a plus
  • Track record of effectively leading teams and implementing data-driven decision-making; ability to point to specific examples of having implemented strategies to improve program performance
  • Demonstrated commitment to providing quality programs in a customer-driven environment
  • Commitment to providing exceptional customer service
  • Collaborative leadership style and demonstrated ability to hire and manage exceptional staff and develop high-performance teams
  • Ability to effectively and cordially interact with diverse audiences at all times, including respecting staff members’ identities, using their correct pronouns, and respecting different styles of learning and interacting
  • Experience successfully adhering to an operating budget
  • Solid verbal communication skills; able to successfully communicate HOURCAR’s mission and goals to HOURCAR staff
  • Ability to travel occasionally and work periodically on evenings and weekends if needed
  • Entrepreneurial, mission-driven, and self-directed
  • Experienced with Microsoft Office Suite (Excel, Word, PowerPoint, Outlook), and able to read and create spreadsheets using Excel formulas. Experience with Tableau software a plus
  • Possess clean driving record with at least 1 year of licensed driving experience; this is a requirement to drive an HOURCAR. Please see www.hourcar.org/membership_qualifications for specifics.

Physical Requirements

  • Fluent in speaking, reading and writing in English (fluency in Spanish, Hmong, or Somali a plus)
  • Requires regular preparation and analysis of figures
